Walnut Tree Hotel – Terms and Conditions
Hotel Booking and Stay
- A credit card is required at the time of booking to guarantee the room
- The credit card will not be debited unless you fail to arrive
- You will be asked for a credit card upon arrival at the hotel and payment for your stay will be made, with any extras being charged on departure
- You may be asked for a credit card on check in to guarantee any charges in addition to your room charge
- If you wish to pre-pay or pay by any other means please contact our reservations team prior to arrival
- You may cancel your reservation up to 12 noon local hotel time, 2 days prior to arrival without any financial penalty
- All taxes are included in the price
- Check in time is from 14.00 hours on your day of arrival
- Check out time is by 11.00 hours on your day of departure
- Smoking – The Hotel is completely Non-Smoking. It is an offence to smoke in any area of the Hotel including in hotel bedrooms. Anyone who is found smoking or evidence that they have smoked will be fined £250
- The Hotel accepts Assistance Dogs
- Parking if free for hotel residents and guests. All cars are parked at the owner’s risk and The Hotel does not accept responsibility for damage to, or for theft from, or for theft of vehicles parked on Hotel premises
Prices
All published rates include VAT at the current rate. Accommodation rates are per room per night with meal plans as indicated. The Hotel reserves the right to alter prices for any reason up to the date of booking. Prices may only be altered to reflect a change in the rate of VAT or other taxes outside of the control of the Hotel. Any such changes will be notified to the Guest.
Availability
All rooms and rates offered are subject to availability and the discretion of the Hotel Manager. For special offers and packages, a limited number of suitable rooms may be allocated to individual rates, packages or promotions. When these allocations are taken up, remaining available rooms may be offered to the Guest at a higher price.
Children
Children aged 15 years and under must be accompanied by a responsible adult to ensure that the children’s behaviour is appropriate for other guests within the Hotel. At the discretion of the Hotel, children may be excluded from certain events or promotions where deemed unsuitable or inappropriate.
All children under 2 years stay free of charge when using existing beds. All children under 2 years are charged GBP 15 per child night for cots/cribs. All older children are charged GBP 20 per night for extra beds. Children`s breakfast is charged at £8.00 per child per night. The maximum number of extra beds in a room is 2. The maximum number of children’s cots/cribs in a room is 2. Any type of extra bed or child’s cot/crib is upon request direct with the hotel and needs to be confirmed by management. For on line bookings, supplements are not calculated automatically in the total costs and will have to be paid for separately during your stay.
Pets
Pets are not accepted with the exception of assistance dogs.
Behaviour
The Hotel reserves the right to judge acceptable levels of noise or behaviour of Guests. In the event of failure to comply with management requests to correct behaviour, the Hotel may terminate the booking or stop any event immediately without being liable for any refund or compensation.
Discrimination
It is the policy of the Hotel not to discriminate on the grounds of race, colour, nationality, creed, sex, marital status, age, ethnic origin or disability. Guests, their employees and all sub-contractors engaged by or on behalf of Guests are expected to adhere to this policy and the Hotel may, without incurring any liability, remove from the Hotel any person or persons offending against this policy.
External Purchases
No wines, spirits, beers or food may be brought into the Hotel or Hotel grounds by Guests for consumption or sale on the premises without the express written consent of the Hotel and for which a charge may be made by the Hotel.
Complaints and Comments
Any comment or complaint regarding a stay at the Hotel should be made to the General Manager or Duty Manaegr at the time of visit so that the matter can be resolved immediately. Statutory Requirements
The Hotel is subject to statutory controls, including those relating to fire, licensing, entertainment, health, hygiene and safety. These must be strictly observed by Guests.
Liability
Other than for death or personal injury caused by the negligence of the Hotel, the Hotel’s liability to the Guest is limited to the price of the booking. Unless the Hotel is liable under the above clause, the Guest indemnifies the Hotel from and against any and all liability and any claims, proceedings or damages resulting or arising from the booking, event or function, the Guest, guests or any outside contractors of the Guest. The Hotel does not accept responsibility whatsoever for damage to, or theft from, vehicles parked on the hotel premises. Guests are responsible for any damage caused to the allocated rooms, furnishings, utensils and equipment in them by any act, omission, default or neglect of the Guest and will pay to the Hotel on demand the amount required to make good or remedy any such damage.
Insurance
The Guest is recommended to have and is responsible for insurance to cover cancellation, curtailment, and loss of baggage, personal effects and money.
Internet Facilities
Internet facilities (WiFi) are provided by third party providers. The Guest acknowledges that there may be disruption to the connection without prior notice and the Hotel shall not be liable whatsoever for such disruption. The Guest further undertakes not to use the facility for any fraudulent purpose or in connection with any criminal offence or in contravention of any licence and will indemnify the Acorn Hotels Ltd against any claim, demand, suit or prosecution arising therefrom.
Accuracy of Website Information
Acorn Hotels Ltd cannot accept responsibility for any errors or omissions and reserve the right to cancel, amend or vary the information featured on the website without notice.
Dispute
These terms will be construed in accordance with English law and the Hotel and Guest submit to the non-exclusive jurisdiction of the English Courts.

Privacy Policy
Data Protection
The information provided by the Guest may be processed by Acorn Hotels Limited for the purposes it has notified to the Information Commissioner. By confirming the booking, the Client consents to this processing of the information. Acorn Hotels Ltd respect the privacy of every individual who visits our website. The data collected about you will be used to firstly fulfill any service you might request (eg to make an enquiry or a booking) and secondly to improve how our web site performs. For your protection we are registered under the Data Protection Act and have given all appropriate notifications to the Information Commissioner.
Web Site
Acorn Hotels Ltd. (The Walnut Tree Hotel) does not collect any personal information from visitors to its website other than information that is knowingly and voluntarily given. Anonymous information is collected, such as the number of visitors to the website in a given period, but it is purely statistical and cannot be used to identify an individual user. Cookies are not used to collect any other information from visitors to the website.
Information Collected
We look to collect only relevant data and only hold data that contacts have given permission for. Personal Information includes contact details as well as all Special Category Data (eg. booking details, dietary requirements, birthdays, anniversaries). Under section 22 of the PECR we do from time to time reserve the right to market news and offers from The Walnut Tree to existing customers of the hotel, unless you elect not to receive such information by informing us in writing or unsubscribing. Contacts who do not open or respond to such correspondence will, after 2 years, be removed from the contact list. New contacts will only receive newsletter information if they have opted in at the point of data collection.
Booking Systems
All booking data is safely stored and encrypted on our Property Management System and only trained personnel have access to this information. Our internal policy forbids sharing data in anyway deemed to be unsafe or at risk. Any payment information is encrypted to ensure PCI compliance. Once saved, payment details cannot be seen or retrieved.
Use of Information
Any personal information voluntarily given and collected may be used to contact you with further details of The Walnut Tree’s current activities or to send details of future initiatives or events. It may also be used for research purposes. You can inform The Walnut Tree any time if you no longer require such information to be sent either by contacting us directly or clicking on the “unsubscribe” link that will be on all email newsletters.
Right of Inspection
Anyone can request an SAR (Subject Access Request) to see all personal data that The Walnut Tree holds. This request must be made in writing to the Privacy Officer alongside proof of identity (copy of driving license or passport) and will be responded to within 30 days of the request being received.
Right of Erasure
Any contact has the right to demand erasure of all the information (subject to safeguarding acts) which must be made to the Privacy Officer at The Walnut Tree Hotel, 87 Fore Street, North Petherton, Somerset, TA6 6QA. This will be completed within 30 days of the request being received.
Third Party Disclosure
Your personal information is very important, and we will not disclose or sell your details to any other organisations.
Data Security
The Walnut Tree takes appropriate measures to safeguard the information it holds from unauthorised access or improper use. Our database is stored in a secure, password protected environment. Only users authorised by The Walnut Tree have access to this data.
Integrity of Data
The Walnut Tree takes all reasonable measures to ensure that the information it holds is accurate. In particular, it uses reliable collection methods and destroys or converts to an anonymous form any out-of-date data. Individuals may request details of all personal information held by The Walnut Tree so as to contest inaccurate or incomplete data, verify the information and have it corrected it as appropriate.
